Booking Conditions
These booking conditions and the other information in the brochures and website, set out the terms on which you contract with Trails 'n Tales. Your contract will be governed by and read in accordance with English Law and will be subject to the exclusive jurisdiction of the Courts of England and Wales. You should also be aware that your statutory rights are not affected.
Deposit And Payment -
Before making your reservation you must have read and accepted the terms of these booking conditions. When the reservation you have requested has been confirmed you should pay a deposit of £50 per person and any insurance premium in full if required. A contract exists when we issue our confirmation invoice, although if you book within 14 days before travel, the contract will start when we confirm the booking on the telephone to you. You must pay your balance at least 8 weeks before departure. If you do not, we reserve the right to treat your booking as cancelled by you, in which case you could be liable to pay us cancellation charges as set out below. If your booking is made within 8 weeks of departure, full payment must be made at the time of booking.
Changes By You (more than 8 weeks before departure) -
If you wish to change your booking after we have issued the confirmation invoice you (lead name) should inform us immediately. Providing the changes are requested more than 8 weeks before departure, an administration fee of £15 per person will be charged. Changes by you if more than 8 weeks before departure, in most cases, can be made over the telephone. If within 8 weeks of departure, this is treated as a cancellation. See CANCELLATION BY YOU below.
Cancellation By You (more than 8 weeks before departure)
If you wish to cancel your holiday in whole or in part after your booking has been confirmed or you wish to change any details of your booking within 8 weeks of departure, you (lead name) should inform us immediately. Cancellation charges will be payable on the scale shown below because of charges imposed on us by our supplier.

* Expressed as a % of total holiday price excluding insurance premium. If the deposit is greater than the % quoted then deposit will be charged. We regret that no refund can be made until full travel documentation has been returned to us. No refunds will be made on insurance premiums.
We strongly advise you to take advantage of our travel insurance which includes protection against cancellation charges. If not you must take out alternative insurance with at least equivalent cover. If cancellation comes within the terms of your holiday insurance policy, you should make a direct claim to the insurance company.
Cancellation By Us
Our groups are small but we do need a minimum number of 4 people to make a trip possible. This is called consolidation. If, by 30 days before departure date, sufficient numbers of people are not booked to make a trip possible, we will offer you one of 3 options with the choice of option being yours -

- A Full refund.
- A place on the next trip to depart.
- Departure on the booked date at an increased price to make the trip viable.

Important -
Unless expressly stated in these booking conditions, we cannot accept liability or pay any compensation where the performance or prompt performance of our contractual obligations is prevented or affected by 'force majeure'. 'Force majeure' means any event which we or the supplier of the service(s) in question could not, even with all due care, foresee or avoid. Such events may include war or threat of war, riot, civil strife, terrorist activity, industrial dispute, natural or nuclear disaster, adverse weather conditions, fire and all similar events outside our control.
Price Guarantee -
The prices and conditions in this brochure and on our website are valid from 1 January 2004 and are only valid for holidays with return dates on or before 31 December 2004. Once booked the price of your holiday is fully guaranteed and will not be subject to any surcharges or price changes.
Complaints -
In the unlikely event that you have a problem or complaint during your holiday please bring it to the attention of the tour leader or other supplier so that they have an opportunity to put it right at the time. If the problem is still unresolved you should contact us immediately on 020 8993 1528 to allow us the opportunity to deal with it while you are still on holiday. If the matter cannot be resolved locally and you wish to take it up with us on return, please write to us within 28 days of your return from holiday. Please quote your booking reference number and give full details so we can make a thorough investigation. We aim to give full satisfaction, but if an agreement cannot be reached you may refer the matter to the DTI who provide referral to an arbitration service.
Conditions Of Carriage -
Flights will be booked with ATOL holders for whom we act as agents, and flight bookings are subject to their booking conditions. When a flight booking has been accepted by us, we shall issue to you an ATOL Receipt which confirms that the money for the flight is held by us on behalf of the ATOL holder. A contract will exist between you and that ATOL holder once they issue a confirmation Invoice, which we shall send you as soon as we receive it. All other arrangements offered by us are provided under a separate contract from the flight arrangements and will be separately invoiced.
Security And Your Money -
Trails 'n Tales is committed to providing for your financial security and all holidays in this brochure are covered in accordance with EU guidelines for package holidays. This means your money is held in a trust account until your return and will be refunded or you will be brought back to the UK if already abroad in the unlikely event that your holiday cannot be provided due to our insolvency.
Inappropriate Behaviour -
By signing the booking form you agree to these conditions and to accept the authority and abide by the decisions of our employees and agents while on tour. If the behaviour of any member of any party is reasonably considered to be causing or likely to cause offence, danger, damage or distress to others or damage to property, we reserve the right at all times to cancel or terminate the holiday arrangements of the person(s) concerned completely. Our responsibility for any such person(s) will immediately cease. No refunds will be made or compensation paid and we will not meet any expenses or costs incurred as a result of the termination.
Travel Insurance - Travel insurance is mandatory for all clients while on Trails 'n Tales holidays. If you choose not to take the insurance scheme we offer, you are responsible for ensuring that you are in possession of travel insurance for the entire duration of the tour in respect of at least medical expenses, injury, death, repatriation, cancellation and curtailment with cover at least equal to the insurance we offer.
Trails 'n Tales Adventure Holiday Bookings -
Before booking with us, please consider the nature of the trips you are considering. Unforeseen conditions or events may sometimes require a change to the itinerary. Snow in the mountains, for example, will prevent us from hiking and sleeping overnight in the cave. Furthermore, the trips are flexible in order to accommodate clients' selections and may deviate from the published sequence. We accept your booking with the understanding that you are aware of this and are flexible with regard to the hazards of this type of holiday and the possibility that changes may be required in certain circumstances.
